# Privacy Policy

*How AX Aagile XaaS LLP collects, uses, shares and protects personal data when you use AXOFFICE, and the choices you have. Last updated 4 October 2026.*

> **Important:** These terms are being finalised with our legal advisers and take effect before AXOFFICE launches. Until then, they show how we intend to work.

**1. Who we are**

This policy explains how AX AAGILE XAAS LLP (“we”, “us”) handles personal data in connection with AXOFFICE, our website at tryaxo.com, this documentation and our support. Our contact details are at the end.

**2. Our two roles**

How we handle data depends on whose data it is.

| Data | Our role | Who decides how it's used |
|---|---|---|
| Your account, billing, website visits and support emails | Controller | We do, as this policy describes |
| The records your company keeps in AXOFFICE — books, documents, and details of its customers, vendors and employees | Processor | Your company does. We process it only to provide the Service, on your company's instructions |

If you're an employee, customer or vendor of a business that uses AXOFFICE and you have a question about your data, please contact that business first — it decides how your data is used, and we'll help it respond.

**3. What we collect**

- **Account details** — your name, work email, company name, role and sign-in settings.
- **Billing details** — your plan, payment history and billing contact. Payments are handled by Whop; we don't see or store full card numbers.
- **Usage and device data** — log information such as IP address, browser, pages visited and actions taken, which we use to run, secure and improve the Service.
- **Support emails** — whatever you send us.
- **Your company's records** — whatever your company enters or connects, which we handle as a processor (section 2).

**4. How we use it**

- to provide, maintain and secure the Service, including preventing fraud and abuse;
- to bill you and manage your subscription;
- to send service emails — invitations, password resets, billing notices and security alerts;
- to answer support requests;
- to understand how the Service is used, so we can improve it;
- to meet legal obligations, such as keeping tax records.

We don't sell personal data, and we don't use your company's records to train AI models.

**5. Legal bases**

Where data protection laws such as the GDPR apply, we rely on: performing our contract with you; our legitimate interests in running, securing and improving the Service, balanced against your rights; your consent, where we ask for it — for example, for optional cookies; and complying with the law.

**6. AI features**

When you use an AI feature such as Ask AXO, the relevant data — your question and the records needed to answer it — is sent to an AI provider to produce a response. Under their business terms, these providers don't use data sent through their services to train their models. The response comes back to you, and nothing is posted without a person's approval.

If you connect your own AI assistant through MCP, data goes to that assistant's provider under your control and its own terms, not ours.

**7. Who we share it with**

- **Service providers (sub-processors)** that host the Service, send email, take payments and power AI features on our behalf, under contracts that require them to protect it. See [Sub-processors](https://docs.tryaxo.com/subprocessors.md).
- **Services you connect** — when you connect an integration, data flows to and from it as you direct.
- **Legal requirements** — when the law requires it, or to protect the rights, safety and security of our customers, the public or us.
- **Business changes** — if we're involved in a merger, acquisition or sale of assets, with the data still protected.

**8. Where data is stored**

AXOFFICE is hosted on servers in Malaysia. Some of our service providers process data in other countries, including the United States. Where we transfer personal data between countries, we use the safeguards that applicable law requires.

**9. How long we keep it**

| Data | How long |
|---|---|
| Your company's records | While your subscription is active, and for 90 days after it ends; then permanently deleted |
| Account details | Deleted with your company's records, unless you're also a user of another company on AXOFFICE |
| Billing and tax records about your subscription | As long as the law requires us to keep them |
| Support emails | Up to two years after the request is closed |
| Logs | Up to 12 months |
| Backups | Overwritten on their normal cycle |

**10. How we protect it**

- Each company's data is kept separate in the database, and an automated check on every change to our code blocks anything that could expose one company's data to another.
- Integration keys and credentials you give us are encrypted at rest.
- Data is encrypted in transit using HTTPS.
- Permissions are enforced on our servers, and posted records can't be altered or deleted.
- Two-step sign-in and passkeys are available to every user.
- Data is backed up every day.

No system is perfectly secure. If we become aware of a breach affecting your personal data, we'll tell you — and any regulator, where that's required — without undue delay.

**11. Your rights**

Depending on where you are, you may have the right to access, correct, delete or export your personal data, to object to or restrict how we use it, and to withdraw consent. To use any of these rights, email support@tryaxo.com with “Privacy” in the subject line. We'll respond within 30 days. You can also complain to your local data protection authority.

**12. Cookies**

We use strictly necessary cookies to keep you signed in and the Service secure. We don't use optional cookies, such as analytics, unless you agree to them in Cookie preferences, and you can change your choice at any time.

**13. Children**

AXOFFICE is for businesses and isn't intended for anyone under 18.

**14. Changes to this policy**

We'll post any changes here and update the date at the top. If a change is significant, we'll tell you by email or in the Service before it takes effect.
