Create and send an invoice
Build an invoice, let AXO calculate the tax, then save it as a draft, send it for approval, or post it.
- Go to Sales › Invoices and choose New invoice, or press N.
- Choose the customer. If they're new, use Quick create without leaving the invoice.
- Check the invoice date, due date and net terms. The due date follows the customer's payment terms.
- Add the customer's PO number if they gave you one. It prints on the invoice.
- Add line items: description, quantity, unit, price, discount and tax code. Tax and withholding calculate as you type, from the customer and the tax codes you choose.
- Add notes. Customer notes print on the invoice; internal notes stay inside AXO.
- Choose how to save — see below.
Saving options
| Option | What happens |
|---|---|
| Save draft | Nothing is posted. You can keep editing. |
| Save and submit for approval | The invoice goes to an approver and appears in their Inbox. |
| Save and post to GL | The invoice posts to the ledger immediately, if you have permission. |
What posting does
Posting creates a balanced journal entry: the amount owed goes to accounts receivable, the sale to revenue, and the tax to tax payable. Once posted, an invoice can't be edited — it can be credited or reversed. See Credit notes and refunds.
Note
Use Add shipping to add a delivery charge as its own line.
